Automated reporting brings much-needed relief to estate managers

ResidentPortal, the web-based communications platform for estates and sectional title complexes, is making the lives of estate managers dramatically smoother with a feature that automatically generates reports required by community scheme executives.

Omar Kinnear, whose software consulting and development company, Business Xponent Solutions (BXS) developed the system, explains:  “A residential estate manager’s job is widely considered to be a tough, and largely thankless one.  And one of their most time-consuming and error-prone functions is producing reports on tasks required by scheme executives.

“Previously, the required information would have been gathered manually and typed up into a report.  A scheme executive assigns a task, and this might come in the form of an email or a verbal request.  Without an electronic system to keep track of and follow up on each individual request inevitably led to them being lost, or not updated.

“Now, those tasks are input into the system online by the body corporate trustees or directors of the homeowners association.  Because the estate manager has everything at his finger-tips, it is much easier for him to stay on top of tasks and produce up-to-date reports.”

Residents are also able to log requests for managers on the system and receive updates and a full of history of their request online to the point of resolution.

These are just two of the features making ResidentPortal one of the most intuitive and feature rich systems on the market.

“Not only that, but residents are able to book facilities online, such as a clubhouse or tennis court, register their pets, vehicles and workers, and even receive their levy statements,” says Kinnear.

A central document portal includes all scheme governance documents, both public as well as secure, private-access documentation such as financial documentation, trustee/director meeting notices, minutes and resolutions, as well as rules and regulations.

Despite its many features, ResidentPortal is easy-to-deploy (requiring just 10 minutes setup time), and can be viewed on multiple devices – smart phone, tablet or computer.

It includes a customisable home page with the estate or complex logo and any background theme or colour, contact details and map with local points of interest.

“Anyone with a computer will be able to set up and administer the system,” he notes.  This might be a trustee, director, estate manager or managing agent.
