ResidentPortal streamlines purchasing process in community schemes

Community scheme managers struggling to manage invoices and payments now have a cure for the headaches caused by what is often a notoriously tedious process. 

This follows the launch of a new feature in ResidentPortal, the web-based communications platform for community schemes, that automates the tracking and payment of invoices and payments.

Developed by software company Business Xponent Solutions (BXS), its director, Omar Kinnear, originally built ResidentPortal as a platform to improve communication in individual complexes and estates.  However, it is increasingly finding traction among independent estate- and property management companies, to assist in management of their clients’ schemes.

One such company is Yvonne Nathan Real Estate Management.  With 17 years’ experience in estate management, owner Yvonne Nathan has built a solid reputation for outstanding service to her clients.

“Over the years we have hand-picked our staff and perfected numerous processes to assist our estate trustees and directors, body corporate and residents to enjoy a smooth, well-run and peaceful living environment,” she says.

“However, we were increasingly noticing a need within some schemes to streamline their purchasing process, and decided to do something about it.”

Nathan knew exactly what she had in mind when she approached Kinnear to build the feature.  “Yvonne provided us with what we call a ‘use case’,” says Kinnear, “and we proceeded to build that for her.”

The process

The new feature went live in September 21 and Nathan is using it for two of her schemes.

Kinnear explains how the process works:  “Once Yvonne’s staff receive an invoice from supplier, they will load it onto the system and the invoice is automatically directed to the trustee linked to the relevant portfolio.  The moment the trustee approves the invoice, the managing agent is notified, and he or she can then action the payment.”

BXS added a further feature, which marks the invoice ‘paid’.  “This is useful for managing agents, as it enables them to draw reports to see outstanding and paid statements,” says Kinnear.

Nathan, who grew up in a complex managed by her caretaker-parents, saw first-hand the kinds of problems that arise in schemes, from pets, parking and people’s behaviour, to waste disposal, common property issues, pest control and more.

“I worked for attorneys for 37 years, but left the legal field in 2005 to fill the need I saw among estates and complexes for strong and effective management of their schemes – and our company does it well,” she says.

“The addition of a system to manage invoices and payments is one more way we can further streamline our services for those schemes that need it.”

Added value

The new feature is available to all of ResidentPortal clients.  “We strive to continually add value to the system and as requests for new functionality come in, we are open to using BXS’s software development capabilities to incorporate them onto the platform,” says Kinnear.
